Event Templates allow you to create a 'template' of an event, making it easy to update all similar events in one place. Each administrator overseeing a clone can see data relevant to their group, while the template admin can edit details for all clones.
This article will cover the following:
Event Templates & Cloning Defined
Event templates can be a really useful tool for group administrators who need to coordinate large service events or manage service-learning courses. An event template can be created, then be cloned into multiple groups and/or courses. When users register to an event from their respective subgroups, these registrations will flow up to the event template, where the admin can review all activity in one dashboard.
Common Use Cases for Event Templates:
-
Service Learning: You can create a template for community partner activities and place these clones in multiple classes.
-
Service Day: Group leaders can have their own event with a unique URL for their group.
Note: Cloning is different from duplicating an event. Clones are linked to the template, so changes in one clone affect all others.
How to Create an Event Template
To create an Event Template, go to Events > Add Event Template. Creating a template follows the same steps as creating an event.
Note: Event Templates can only be cloned down in a network. Group administrators should be strategically place the event template within a group where it will have the most flexibility to be used across the network.
Note: All templates and their clones will be set as private events.
How to Clone an Event Template
After creating your event template, you can 'clone a template' for other groups you administer. This keeps registrations and impacts connected to each clone, while the data aggregates within the template.
Note: When working with event templates, there are many management capabilities that come with overseeing these. To see what additional capabilities exist, you can go here: Manage Event Templates, Shared Registrations, & Clones
The Shared Registration setting allows you to set a maximum number of available spots across all cloned events, if enabled. For example, if the max is set to 10, those 10 spots are shared across all clones on a first come first serve basis; there isn’t currently a way to specify how many spots go to each course or group.
If Shared Registration is disabled, each course or group can have its own limit of 10 registrations, allowing for a cumulative total of 50 registrations across 5 clones in those 5 groups/courses.
