You can now use, duplicate and modify the same survey across multiple groups within your network.
Create a Survey
Refer to our previous support article if you have never used surveys before.
We have added a "Visibility" setting. This setting lets you select "Network" to make the survey available across the entire network, or "Private" for a specific Group.
Because each group can now use surveys created by other groups within their network if the visibility is set to "Network," we have added an “Owner” column in "Manage Surveys" to indicate which group created and therefore, owns the survey. Only the owner of the survey can edit or delete the survey.
If you delete a survey, you will also be deleting the responses and survey invitation associated with the survey, including any responses your subgroups may have collected from using your survey.
We recommend groups and subgroups to use Network Surveys as templates, and always create their own duplicates of surveys in other groups so their responses are independent of other survey owners’ deletion.
There could be scenarios where not duplicating is preferable, and that is when you want the parent to see all the responses of their subgroups roll up into an easy to access view. We will demonstrate those views below.
Let’s take a look at a couple of ways you can leverage this new Visibility setting.
1. Using a Private Survey
An admin creates a "Private" survey to ensure the survey is only visible and used by the admin's group. All surveys are set to "Private" by default.
2. Using a Network Survey as a survey template
An admin creates a "Network" survey titled "Amazing Survey" in Class 1. The admin of Class 2 navigates to "Manage Surveys", clears out the "Owner" column to see Network Surveys from other groups, and use the Duplicate function under the actions drop-down to create a Class 2-owned Survey from "Amazing Survey." By duplicating, the admin ensures the duplicated survey and responses in Class 2 are not tied to the original survey.
3. Using a Network Survey as a network-wide survey
The admin of a parent group wants the members of its subgroups to take the same survey, and all responses need to roll up at the parent level. The admin of GivePulse.org creates a Network Survey titled "All Assessment."
Admin of Class 1 and admin of Class 2 will send survey invitations using the "All Assessment" created by the GivePulse.org without making their own duplicates.
Because GivePulse.org is the parent of both Class 1 and Class 2, admins of GivePulse.org will be able to see all responses and survey invitations sent from Class 1 and Class 2. Admins of Class 1 and Class 2 will see the survey invitations sent to their respective groups and the responses answered by their respective group members. Admin of GivePulse.org can export all responses by navigating to Manage Surveys, finding "All Assessment," and select Export Responses from the action drop-down.
If the owner of "All Assessment" were to delete the survey, a warning box will pop up because all of the underlying survey invitations and survey responses will be deleted. Proceed with caution because this selection may impact multiple groups and the data collected across multiple groups.
